Paperwork to Collect Before Scooter or Bike Handover – Don’t Miss This Paperwork Checklist

Once you’ve finalized the scooter or bike, most of your attention shifts to the colour, accessories, and delivery date. But before you get swept away by the excitement, take a pause because paperwork mistakes can cost you time, money, and legal trouble later.
From incomplete insurance to missing warranty documents, these issues happen more often than you think especially in busy showrooms or when you’re trusting verbal promises.
Here’s a simple but complete checklist to make sure you leave the showroom with everything in place.
1. Before Booking – Ask for the Full Price Breakup in Writing
Don’t rely on “₹92,000 on-road” told verbally. Ask for:
- Ex-showroom price
- RTO charges (state registration fee)
- Insurance: confirm 1-year comprehensive + 5-year third-party (mandatory in India)
- Handling/logistics charges (ask if it’s official or showroom-added)
- Extended warranty (if any and whether it’s included or separate)
Ask for this on paper or via WhatsApp before paying anything. Compare it with the brand’s official configurator, if available.
2. Check the Quotation and Booking Receipt
Once you’re ready to book, make sure:
- The quotation includes variant, model, colour, and tax breakdown
- Your booking receipt clearly shows amount paid, expected delivery date, and model details
- You get a stamped copy (not just a handwritten slip)
For loan buyers, also ask for the EMI schedule and interest rate before signing anything.
3. At the Time of Delivery – Don’t Skip These Documents
Make sure the dealer gives you:
- Tax Invoice (with chassis number, GSTIN, and correct buyer name)
- Temporary or Permanent RC slip (depending on state rules)
- Insurance certificate (hard copy + soft copy sent to your email)
- Owner’s manual
- Warranty card or activation receipt
- Free service coupons (either printed or linked to your service app)
- PUC (Pollution Under Control) certificate if issued at delivery
- Accessory bill if you paid separately for guards, mirrors, footrest, etc.
Tip: Check that your engine and chassis number on the invoice match the scooter or bike physically.
4. What About the Number Plate?
Make sure the number plate is:
- HSRP-compliant (High Security Registration Plate, with laser coding)
- Installed by an authorized agent, not a local sticker shop
- Properly fitted before riding away if not, get written confirmation on when and how it will be installed
5. For EV Buyers – Extra Documents You Should Get
Electric vehicles require a few more checks:
- Battery warranty slip (with serial number, warranty period, and conditions)
- Charger kit invoice
- Charger installation confirmation, if home delivery was promised
- App pairing or user guide, if your scooter uses a smartphone app
EV warranties sometimes depend on charging cycles or usage patterns ask clearly how yours works.
6. Final Walkaround Before Riding Out
Take 2 minutes and:
- Check that you got the model, colour, and variant you booked
- Fuel tank isn’t completely empty
- All switches work: horn, indicators, high beam
- Tyres look new and air pressure is proper
- You got the tool kit (check under seat)
- Take a photo of your RC, insurance, and VIN number store it on your phone for safety

Once you take the scooter or bike home, paperwork is all that proves ownership, warranty, and insurance coverage. If you ever need to file a claim, sell the vehicle, or even get a traffic challan cleared missing documents can slow everything down.
